Your data stays in Ireland. The Suite runs on servers in Dublin with its database in Ireland, under EU data protection law. Each business is walled off from every other, and every action is logged.

A person signs off. AI can read a receipt or draft a reply. Nothing is filed with Revenue or sent to a customer without your approval.

Who leads AI and automation at M.A. Whately?

Adrian Capraru, the firm's Director of AI & Business Automation. He designed and built the M.A. Whately Suite, the firm's own platform for document requests, payment chasing, cash flow forecasts, compliance dates and team records. Before joining the firm he was Chief Operations Officer of HighCrowd, an EU-regulated crowdfunding platform, and he founded an ISO 9001:2015 certified manufacturing business. What can be automated in a small business?

Mostly the work that moves the same information from one place to another. Typical examples:

  • Turning an accepted quote into an invoice and an entry in the accounts
  • Reminding customers about overdue invoices, and stopping as soon as they pay
  • Reading supplier bills and receipts and coding them in Xero, Sage or QuickBooks
  • Collecting documents and answers from customers, suppliers and staff by link instead of email chains
  • Weekly cash and debtor reports that build themselves from the bank and the ledger

Work that needs judgement stays with people: pricing, credit decisions, tax positions and anything that is signed.

Is it safe to use AI with business and financial data?

It can be, with the right rules. Every system Adrian builds follows the same ones: data is kept in the EU, each business can only see its own records, every action is logged, records are deleted on a schedule the business sets, and a person approves anything an AI produces before it is filed, paid or sent. Under GDPR the business stays the controller of its customers' data and decides what is processed.

How does an automation project work?

  • First conversation: tell Adrian which job takes the most time, and hear whether automation is worth it.
  • Written plan: what would change, the hours saved, the cost and the safeguards.
  • Build and test: built and tested with your own data before anything goes live.
  • Handover: documented, owned by your business, your team trained, with support afterwards.

Why have your accountant automate your admin?

Because the accountant already knows how money and paperwork move through your business, and what Revenue and the CRO expect at the end of it. Automation built with that knowledge produces records your accounts and tax returns can rely on, instead of a faster way to make the same mistakes.

Do I need new software to automate my admin?

Usually not. Most of the work connects the accounting software, bank, email and other tools you already pay for. New software is only suggested when it clearly saves more than it costs.

Will AI file my tax returns or pay my bills?

No. AI is used to read, sort and draft. A person approves anything that is filed with Revenue, paid or sent to a customer.

Where is my data kept?

In the EU. The M.A. Whately Suite runs on servers in Dublin with its database in Ireland. Where other services are connected, the plan lists each one and where it stores data, so you can decide before anything is built.

Can I try the tools before committing?

Yes. The free M.A. Whately Suite tools for quotes, payment chasing, cash flow, Revenue deadlines and receipts work in your browser without an account, and what you type stays on your device.
